Administrative Assistant- Preschool
Kingdom One is partnered with First Presbyterian Church of Hollywood located in Hollywood, CA that is looking to grow their team by adding a part time Preschool Administrative Assistant.
Vision for the role:
HPCC (Hollywood Presbyterian Children’s Center ) is a ministry of First Presbyterian Church of Hollywood (“FPCH”). HPCC is open to children of all spiritual backgrounds and provides an appropriate Christian faith-based learning experience for children between two years, six months and five years of age. HPCC’s goal is to provide experiences that stimulate the child’s interest in God’s world – to provide an environment where each child can develop his or her physical, emotional, mental and social capabilities to his or her full potential, with an emphasis on cognitive development and communication skills. The Preschool Administrative Assistant will be highly organized and detail-oriented to support our Preschool team with day-to-day operations. The ideal candidate will have excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. This role is essential in ensuring the efficiency and smooth operation of our preschool, supporting staff, parents, and students.
We are looking for someone who:
- Has strong administrative support skills
- Proficiency in managing schedules, handling phone calls, and organizing documents,
- Has strong verbal and written communication skills to interact with staff, parents, and church leadership.
- Ability to multitask, prioritize tasks, and meet deadlines efficiently.
- Is warm, has a welcoming demeanor when assisting families, staff, and visitors.
- Experience with Microsoft Office (Word, Excel, Outlook), Email, and database management.
- Accuracy in maintaining records, tracking attendance, and processing paperwork.
- Works well with teachers, ministry staff, and church leadership.
- Ability to handle unexpected challenges with grace and professionalism.
- Maintains confidentiality with sensitive information regarding children, families, and staff.
- Familiarity with invoicing, tuition tracking, and financial records (a plus).
- High school diploma required; associate’s or bachelor’s degree preferred.
- Prior administrative experience in a school, preschool, or church setting is a plus.
- Understanding of church culture and values, especially related to early childhood education.
- CPR/First Aid Certification – Preferred but not always required.
- Background Check & Clearances – Required for working with children.
Some of what you'll do:
- Greet and assist parents, staff, and visitors in a professional and friendly manner.
- Manage student enrollment, attendance records, and maintain accurate student files.
- Communicate with parents regarding schedules, policies, and upcoming events.
- Assist teachers and staff with administrative tasks, including copying, filing, and organizing materials.
- Maintain and update preschool databases and records.
- Prepare reports, presentations, and other school-related documents.
- Coordinate and assist in organizing school events, field trips, and parent meetings.
- Manage office supplies, ordering and ensure the workplace remains organized.
- Handle incoming and outgoing correspondence, including emails and phone calls.
- Prayerfully uphold the needs of children in the church and community.
- Report to and work closely with the Preschool Director and the Christian Education Staff and Committee.
Pay Information: Hourly, $23-$24/hour
Status: Part Time, up to 28 hours per week
